List each ingredient separately, including its form and any variant or specification already used in your business. For example, write whole cumin seeds or ground guajillo rather than a general request for spices or chilli.

If you are matching an existing ingredient, include the relevant specification and application. Do not assume two products are equivalent because their names are similar.

Estimate how much you expect to use over your planning period. Then state whether the requested quantity is in pounds, kilograms, bags, cases or another unit. If the pack is not yet agreed, say so.

Ask for the available pack size and minimum before converting your needs into a final order. A price per pound and a price per case can only be compared once the case contents are clear.

Include your delivery ZIP code, requested delivery window and any receiving restrictions. Note whether the location has a loading dock or requires an appointment or liftgate service, if relevant.

Save the agreed product, variant, order unit and quantity with your purchasing reference. Record the quote date and the delivery details. For a recurring requirement, tell us your expected order frequency.

Check availability, current pricing and delivery arrangements for each new order. A previous purchase is a useful starting point for a repeat request, but does not by itself confirm the next shipment.
